Returning Guests: We Love You! If you have stayed with us in the
18 months prior to your arrival date, you will be entitled to a 10% discount on
your room rate.
Check-in / Check-out: A valid credit card is
required upon check-in for ALL reservations (no exceptions). Check-out by
11 AM. Check-in after 5 PM.
Your room may be ready as soon as noon if it was not occupied the night before.
Rooms are often ready before 5 PM, but we can not guarantee it. Lockers and showers are available in the indoor pool building if you arrive before your room
is ready and you would like to change into something more comfortable.
Debit & Credit Card Users: When you
present your credit or debit card at check-in, our credit card system
automatically reserves the amount of your stay, plus an additional 25%. It
can take up to ten days for this amount to be credited back to your
account. If you wish to avoid this amount from being taken out of your
banking account, please provide us with another credit card at check-in.
If you would like to put your final bill on your debit card, you may switch the
form of payment to your debit card at check-out.
Reservation Requirements: A two night minimum is
required on most weekends. There is a three night minimum on holidays.
Reservation Deposits: We require a deposit equal to one night's
lodging plus all applicable taxes for up to a two-night stay; one half total
rate for three or more nights.
Reservation Cancellation Policy: Ruttger's Birchmont Lodge is a
destination resort that relies on advance reservations, we are not a roadside
motel. We have a very limited ability to resell cancelled room nights on short
notice. When you make a reservation, we agree to hold those accommodations for
you. You are responsible for your accommodations for the full length of your
reservation. If you choose to cancel or leave before the end of your contracted
reservation, you will lose your deposit. Our cancellation policy is as follows:
you must cancel a minimum of 30 days
prior to your arrival date between Memorial Day Weekend and Labor Day
Weekend. The cancellation policy for the
other seasons is two weeks prior to your arrival. You must obtain a cancellation
number when canceling your reservation. If you cancel within the 30 day or two
week period, you will forfeit your deposit. Your room will be released back into
our inventory to re-sell. If you cancel your reservation prior to the cancellation deadline,
your deposit will be refunded less a $40.00 cancellation fee. During the winter
months, a reservation may be cancelled at any time up to 6 PM the day of arrival
with no loss of deposit if the cancellation is weather related. (snow storm).
However, under these circumstances, you must call and cancel your reservation.
If you do not call and release your room, your reservation will be treated as a
No Show.
No Show Policy: Should you fail to arrive on the night of your arrival
date, your reservation for any subsequent nights will be canceled, and your
rooms will be released into our inventory. Any deposit you have with us will be
forfeit.
Trip Insurance/Cancel for any reason: Trip
insurance allows you to cancel your reservation for any reason. If you
think that you may not be able to fulfill your reservation obligations, buy our
Trip Insurance when you make your reservations. Trip Insurance must be
purchased within 24 hours of making your original reservation. The cost is
7% of your total room rate, with a minimum of $25.00. Trip insurance
enables you to cancel your reservation, or depart early, for any reason with
only 48 hours notice, and we waive the $40.00 cancellation fee.
Terms:
- Cancellations must be made at least 48 hours prior to 6pm on the arrival
date.
- Cancellations made 25-47 hours prior to 6pm on the arrival date will be
charged for the first night of the reservation.
- Cancellations made less than 24 hours prior to 6pm on the arrival date
will be charged for the first two nights of the reservation.
- Early departure notifications must be made 48 hours prior to your 11:00am
check out time. Early departures with less than 48 hours notice are
required to pay for their entire stay.
Pet Policy: We accept pets in our cottages and
villas only. Because all of our guests may not be
"pet people", our resort will only accept a limited number of
pets at any given time. All pets must be registered at the Front Desk. Pets are
allowed in designated cabins only. Pets are not allowed in the Main Lodge, Cedar
Lodge, or Indoor Pool Complex. So that we may keep these areas free of pet hair and pet
odor for
guests who may have allergies, please do not ask to bring pets into these areas.
We ask that owners follow a few rules, including keeping your dog on a leash
when outside, and leaving them secured in a kennel if they are left in your
cottage unattended. This will allow our housekeeping staff to feel
comfortable going into your cottage to provide service.
There is a $15 charge per night per pet with
a maximum of two pets per cabin. You will be financially responsible for all
liability and damages caused by your pet. We reserve the right to have your pet
removed from the premises at any time. We also reserve the right to refuse pets
at anytime.
Pet "walking areas" Please walk your pet on the north side
of the road running behind the cottages. This area including the adjoining woods
is a designated "pet walking area". Accidents do happen. If they
happen on any of the other resort grounds, especially the lawns and public areas
near the lodge and cabins, PLEASE CLEAN UP AFTER YOUR PET.
Noise Complaint Policy: 10:00 pm - 7:30 am is considered a quiet time
on the resort grounds. Many guests come to our cool northern climate so that
they may have the pleasure of leaving their windows open in the night and
hearing the sounds of nature, the loons, the waves breaking on the beach. They
do not want to hear the party next door, or a noisy bonfire down the beach. If a noise complaint is received by the resort,
the guest against which the complaint is issued will be contacted. In the
case that multiple complaints are received, the guest
against which the complaint is issued will be responsible for the full amount of
their stay, as well as any discounts or credits the resort gives to compensate
other guests who were disturbed. The amount may not be determined at checkout,
so the guest responsible may leave a credit card or a deposit for the
compensations.
Outside Guests: Use of the resort grounds,
facilities, and accommodations are for registered resort guests only. If you
plan to have guests visit you, (i.e.. relatives or friends living in Bemidji,
relatives staying at the State Park, etc.) or meet you at a resort facility
like the beach or indoor pool, Please call the front desk and register your
guests in advance. The charge will be only $3.50 per person per day. After registering,
your guests may visit you in your accommodation, use the lawns and beach area,
and indoor pool. We reserve the right to refuse use of the resort facilities
to your guests. There
will surely be a much larger guest fee if you neglect to register your guests, or if you bring in
large numbers of people without receiving prior approval. See also Noise Complaint Policy above.
